Project Coordinator

Summary Description:

The Project Coordinator is vital to client satisfaction, project efficiency, and team unity.   The Project Coordinator will have shared responsibility in maintaining day-to-day relationships with the client, Ardent’s internal team, and vendors while working toward delivering a successful project to the client.

The Project Coordinator will provide the day-to-day project coordination, be savvy at event management, and support the logistical operations of a fast moving, ever changing client environment. 

In This Role You Will:

  • Provide project and administrative support on project engagements with a focus on completion, coordination and organization of tasks and actions associated with Ardent project plans
  • Execute tasks and milestones as assigned in project/program plans
  • Coordinate and schedule activities and meetings associated with Ardent projects or programs
  • Engage with internal Ardent support functions and Centers of Excellence as appropriate to execute actions/tasks on projects
  • Ensure timely and efficient milestone handoffs internally and externally throughout project
  • Provide proactive status updates to Ardent team members and clients when applicable
  • Obtain client feedback and work through edits and revisions to engagement deliverables
  • Work closely and take direction from Project/Program Managers assigned to the project/program
  • Discuss any project changes that may affect scope, time, cost and or quality with project team
  • Under the guidance and direction of the Project Manager, assist with project tasks to ensure specifications and deadlines are met
  • Discuss any project changes that may affect scope, time, cost, or quality with project team
  • Acts as liaison amongst the Project team to advance project tasks to the next stage
  • May occasionally perform basic project-related tasks that help keep the project on time (e.g., handoff documents to internal staff, collect documents back from internal staff, etc.)
  • Travel locally to and from the client location as needed
  • Other duties as assigned

Education & Experience:

  • Bachelor’s degree or equivalent years of work experience
  • At least 1 – 3 years of professional experience
  • Extensive data entry and report generation experience preferred
  • Event management/coordination experience preferred
  • Experience with Smartsheets or a similar Project Planning software preferred

Knowledge, Skills & Abilities:

  • Proven experience handling administrative duties with complete accuracy and in a timely manner
  • Highly skilled in Microsoft Office (Word, Excel, Outlook)
  • Sound and accurate data entry capabilities
  • Technically savvy and able to quickly learn software tools
  • Negotiation skills when managing event space and catering
  • Excellent written and verbal communication skills
  • Highly organized, detail-oriented, and able to handle several projects simultaneously
  • Strong commitment to customer service
  • Able to work cooperatively and effectively with team members to set goals, resolve problems, and make decisions that enhance organizational effectiveness
  • Adept in working in a fast-paced environment
  • Willing and able to initiate and maintain effective daily communications and interpersonal exchanges with both Ardent and Client teams
